Welcome to Rachael Reynolds School of Dance. We are delighted to have you as part of our school community.
Our aim is to teach every student in a safe, supportive and enjoyable environment. We work to help students improve their dance skills, grow in confidence and feel comfortable being 100% authentically themselves.
These Terms & Conditions explain how our classes, payments, attendance, communication and school expectations work. By registering for, booking or attending classes with Rachael Reynolds School of Dance, you agree to these terms.
1. About these terms
These terms apply to all students, parents, carers and customers of Rachael Reynolds School of Dance.
Where the student is under 18, the parent or carer completing the registration or booking is responsible for accepting and following these terms on the student’s behalf.
We may update these terms from time to time. When we do, we will update the “Last updated” date at the top of this page.
2. Registration and class places
Students must be registered before attending regular classes. Registration allows us to hold the correct contact, medical, emergency and consent information for each student.
Class places are subject to availability. We cannot guarantee or reserve a student’s place unless fees are paid on time and the student is properly registered.
If a class is full, we may offer a waiting list or suggest an alternative class where appropriate.
3. Fees and payment
Fees must be paid in full by the due date stated when you register. Unless agreed otherwise, fees are paid monthly by direct debit on the first day of each month.
We cannot reserve a student’s place if fees are not paid on time.
If payment is late, missed or declined, we may contact you to arrange payment. Continued non-payment may result in the student’s place being withdrawn.
4. Missed classes, deductions and refunds
There are no concessions, deductions or refunds for classes that are not attended.
Regular attendance is important for the benefit of the student and the rest of the class. If you or your child will not be attending a class, please let us know in advance wherever possible.
Missed classes cannot usually be carried over, credited or transferred unless this has been agreed by us in writing.
5. Leaving the school
We require one month’s notice if a student wishes to leave Rachael Reynolds School of Dance.
Notice should be given in writing by email or message to the school. Fees remain payable during the notice period.
If notice is not given, a further month’s fees may still be due.
6. Attendance and punctuality
Students should arrive on time and be ready to start class promptly.
Late arrival may disrupt the class and may affect the student’s ability to warm up safely. If a student arrives significantly late, the teacher may decide whether it is safe and appropriate for them to join the class.
Parents and carers should collect children promptly at the end of class. If you are running late, please contact us as soon as possible.
7. Drop-off and collection
Please tell us in advance if someone other than the child’s parent or carer will be collecting them at the end of class.
For safeguarding reasons, we may refuse to release a child to an adult we have not been told about, or where we have concerns about the collection arrangement.
Parents and carers are responsible for students before they are handed over to the class teacher and after they have been collected at the end of class.
8. Parent and carer watching
Parents and carers are not permitted to stay and watch regular classes, except during free trials or where we have specifically agreed this.
This helps reduce distractions and allows students to focus on learning, rehearsing and building confidence.
We will invite parents and carers to see students’ progress at organised watching weeks, performances, showcases or other events throughout the year where appropriate.
9. Uniform and clothing
Students should wear dance-appropriate clothing for all classes.
Inappropriate clothing includes:
- school uniform;
- socks without suitable shoes;
- footwear other than trainers or specialised dance shoes;
- clothing that restricts movement or may create a safety risk.
All uniform, dancewear, shoes, bags and personal belongings should be clearly named.
We accept no responsibility for lost, damaged or misplaced clothing, shoes, bags or personal belongings brought to class.
10. Water, snacks and allergies
We provide tap water when required, but we encourage students to bring their own bottled water to class.
Students taking part in multiple classes may bring a snack to eat between classes or after class.
We operate a strict no nuts policy. Please ensure that any snacks brought to class do not contain nuts.
Parents and carers must tell us about any allergies, medical needs or dietary concerns that may affect the student during class.
11. Medical information and emergency contact details
You must declare all relevant medical conditions, allergies, injuries, access needs, SEND information or other important health information during registration.
You must keep us updated if this information changes.

It is the parent or carer’s responsibility to make sure emergency contact details are accurate and up to date.
12. Health, safety and participation
We take reasonable steps to provide a safe environment for classes, rehearsals, workshops and performances.
Dance is a physical activity and carries a risk of injury. Students should follow teacher instructions, warm up properly and behave safely during class.
Students should not attend class if they are unwell, injured or unable to participate safely.
If a teacher believes a student is unwell, injured or unable to take part safely, they may ask the student to sit out or contact a parent or carer.
13. Behaviour expectations
We want every student to feel safe, included and respected.
Students are expected to:
- listen to teachers and follow instructions;
- treat other students, teachers and volunteers with respect;
- use appropriate language;
- take care of the studio, venue and equipment;
- avoid behaviour that could upset, distract or endanger others;
- represent the school positively during classes, events and performances.
Bullying, intimidation, discrimination, harassment or deliberately unsafe behaviour will not be accepted.
If behaviour concerns arise, we may speak with the student and/or their parent or carer. In serious or repeated cases, we may suspend or withdraw a student’s place.
14. Safeguarding
Safeguarding is central to how we run the school. We expect staff, volunteers, students, parents and carers to help us maintain a safe and respectful environment.
Any safeguarding concerns should be reported to the Designated Safeguarding Lead.

15. Photos, videos and marketing consent
We may take or use photos and videos from classes, rehearsals, shows, performances or events for school records, teaching, celebration, marketing, website or social media purposes.
You must tell us if you do not want yourself or your child to be photographed or filmed for marketing or social media use.
You must also keep us updated if your consent preferences change.
If consent is not given, we will take reasonable steps to avoid using identifiable images of that student for marketing or social media. Where a student appears in a wider group or performance image, we may use methods such as blurring faces, using non-identifiable angles or showing the backs of heads.

16. Shows, performances and events
From time to time, students may be invited to take part in shows, performances, workshops, watching weeks or other events.
Participation may be subject to additional information, fees, costumes, rehearsal requirements, behaviour expectations, permissions or deadlines.
We will provide relevant details before each event where possible.
17. Timetable, teacher and venue changes
We may need to change class times, teachers, rooms, venues, dates or formats from time to time.
We will give as much notice as reasonably possible, but changes may sometimes be required at short notice due to illness, venue issues, weather, emergencies or circumstances outside our control.
Where a class is cancelled by us, we will decide whether to offer a replacement class, credit or other arrangement depending on the circumstances.
18. Communication
We may contact parents, carers or adult students by email, phone, text message, WhatsApp or another appropriate method about classes, payments, attendance, events, emergencies or important school updates.
Please make sure your contact details remain accurate and tell us promptly if they change.
19. Personal belongings
Students should avoid bringing valuables to class.
We are not responsible for loss, theft or damage to personal belongings, clothing, shoes, phones, jewellery, bags or other items brought to class, rehearsals, performances or events.
20. Liability
We take reasonable care when providing classes and activities. However, we are not responsible for loss, injury or damage except where this is caused by our negligence or where the law says we are responsible.
Nothing in these terms limits any legal rights that cannot be limited by law.
21. Website, parent portal, reviews and comments
Use of our website, parent portal, account areas, reviews, comments and other online features is governed by our Website Terms of Use.
You are responsible for keeping any parent portal or account login details secure and for making sure that information submitted through the website is accurate and appropriate.
Reviews, comments or other content posted online must be respectful, truthful, lawful and appropriate. We may remove or moderate content where we believe it is abusive, misleading, defamatory, discriminatory, spam, inappropriate, unsafe, or otherwise in breach of our website rules.

We collect and use personal information to manage classes, communicate with families, keep students safe, process payments and run the school.

We may update these Terms & Conditions from time to time.
When changes are made, we will update the “Last updated” date at the top of this page. Significant changes may also be communicated directly where appropriate.
