📣 ADULTS – IMPORTANT NOTES FOR SHOW WEEKEND 📣

1. Dressing Rooms

➡️ Your dressing rooms are along the English corridor . Men and women have separate rooms, but the corridor connects them so you can socialise.

➡️ The corridor is shared this year with senior students - do not enter their dressing room under any circumstances (even if your kids are in there!)

➡️ Please do not leave the dressing room area to meet audience members before the show. This creates unnecessary chaos in a very busy space and puts added pressure on front of house and backstage teams. It also helps maintain a level of professionalism – audience members should experience the performers on stage, not beforehand.

➡️ Please bring plenty of mirrors with you.

2. Toilets

➡️ Use the male and female toilets just before the corridor entrance.

➡️ During the interval, avoid toilet trips if possible. If you must go, please cover your costume as audience members may be present.

3. Backstage Communication

➡️ Walkie talkies will be provided for each adult group. Runners will also assist as a backup.

➡️ Appoint one person per class to be responsible for the walkie talkie so you don’t miss cues.

➡️ Please stay in dressing rooms during the show - no peeking through auditorium doors or windows as all audience areas are in use. This caused issues last year!

4. Stage Access

➡️ Wait to be called before heading to the stage to avoid congestion, especially with children moving through.

➡️ Be respectful of stage assistants and fellow performers - no peering through doors or wings.

➡️ Silence (whispers only) when waiting to go on stage.

➡️ When using an audience door as an entrance please wait in the corridor not in the gap between the 2 doors. Listen to the door staff who may ask you to stand back.


5. Kids’ Areas - Strictly Off Limits

➡️ For safeguarding and allergy reasons, no adults may enter the children's dressing rooms, including those where your own children are.

➡️ If you urgently need access, speak to Rachael or Alison.

➡️ The only exception is the mic table for Adult MT. Go in, mic up at your allocated time, and leave promptly.

6. Watching Your Children

➡️ You may watch your child during the Saturday dress rehearsal only. Sit anywhere, but please stay seated during their performance - we just ask that you watch, then return to your dressing room or side of stage when it’s time for your own performance.

➡️ Unfortunately, your children cannot watch your performance at any point, including the dress rehearsal. Some dressing rooms have screens in so they can watch from there.

➡️ That said, they’re very welcome to come and watch your class during next week’s rehearsals (Mon-Thurs only). If they do, please make sure they choose a seat and remain seated throughout. We have tech crew working in the space all week, so it’s really important that we avoid children running around the auditorium or venue at any time.

7. End of Show Pick-Up

➡️ IMPORTANT! - After each show, collect your child from the auditorium seats, not from their dressing room or a chaperone. This caused major issues for us last year when some children were collected from their dressing room or from a chaperone instead of a team member on stage - our chaperones do not know you so please help them and us by coming to the auditorium seats and collecting them from there. Thank you.

➡️ The Rachael Reynolds team must release children directly to a parent/carer from the stage to avoid confusion.

8. Fire Safety

➡️ Fire exits are along your corridor - please familiarise yourself with them on arrival.

➡️ Assembly point: the Astroturf towards the mansion house.

➡️ A fire safety folder with a map and register will be in the corridor. If evacuation is needed, one of you should grab it - no specific person will be appointed.

We completely understand how special this show is for everyone - many of you have children performing, and of course, loved ones coming to watch. For that reason, we kindly ask that you don’t request exceptions to the guidelines. Everything has been put in place to keep things fair, smooth, and enjoyable for all involved and we really appreciate your understanding that we need to apply the same rules across the board. Thank you so much for being part of making this weekend run so well for everyone.

THIS CLASS HAS EXTRA REHEARSAL DATES

All of these rehearsals will take place at Caterham Community Centre, High St, Caterham CR3 5UE.

SCHEDULE

This schedule is specific to your class - please read it carefully to know when you/your performer are needed during show weekend.

All of the below will take place at Woldingham Girls’ School (CR3 7LR). Allow extra travel time, including the 2-mile drive that leads to the venue.

We cannot delay for late arrivals—being late may mean missing rehearsals or class photos.

  • 5:45pm - 8:00pm - TECH REHEARSAL

    • This is a technical rehearsal for lighting and sound.

    • We cannot wait for late arrivals to begin the rehearsal.

    • Once dropped off, all performers will head to their dressing rooms.

    • You will be called to your stage entrance when we are ready to run your number

    • What to pack (in one clearly named bag):

      • Food/snacks (strictly no nuts)

      • Bottled water

    • Belongings can be left in dressing rooms at your own risk. The building is secured overnight, but we are not liable for loss or damage.

  • 11:45am - 12:00pm - DROP OFF WINDOW

    Due to high volume, queues are likely as we sign in and escort performers to their dressing rooms. Thank you for your patience.

    • Please arrive on time with hair done and everything on your checklist (see below).

    • Once dropped off, all performers will head to their dressing rooms.

    • PLEASE MEET US IN THE AUDITORIUM AT 12:30pm

    • This day starts with class photos and a full run-through of the show with costumes, lighting, and sound.

    • We cannot wait for late arrivals to begin the rehearsal. (Latecomers may also miss their scheduled class photo.)

    • What to pack (in one clearly named bag):

      • PLENTY of food/snacks (strictly no nuts)

      • Bottled water

    • Belongings may be left in the dressing rooms for the weekend at your own discretion. While the building is secured overnight, we cannot accept responsibility for any loss or damage.

    YOU MUST STAY IN YOUR DRESSING ROOM FROM 5:15pm UNTIL THE SHOW STARTS AS AUDIENCE MEMBERS WILL BE ARRIVING

    SHOW STARTS: 6:15pm
    SHOW ENDS: 8:35pm (Approx.)

  • 12:30pm - 12:45pm - DROP OFF WINDOW

    Due to high volume, queues are likely as we sign in and escort performers to their dressing rooms. Thank you for your patience.

    • Please arrive on time with hair done and everything on your checklist (see below).

    • Once dropped off, all performers will head to their dressing rooms.

    • This is the second show day, with all performers taking part in both the matinee and evening performances.

    • What to pack (in one clearly named bag):

      • PLENTY of food/snacks (strictly no nuts) - There will be a ‘dinner-break’ between the two performances.

      • Bottled water

    YOU MUST STAY IN YOUR DRESSING ROOM FROM 1:00pm UNTIL THE MATINEE STARTS AS AUDIENCE MEMBERS WILL BE ARRIVING

    MATINEE STARTS: 2:00pm
    MATINEE ENDS: 4:20pm (Approx.)

    YOU MUST STAY IN YOUR DRESSING ROOM FROM 5:15pm UNTIL THE MATINEE STARTS AS AUDIENCE MEMBERS WILL BE ARRIVING

    EVENING SHOW STARTS: 6:15pm
    EVENING SHOW ENDS: 8:35pm (Approx.)

CHECKLIST

If you do multiple classes please check each one carefully as they all differ.

CLOTHING

  • Tap Shoes

  • Your entire ‘QUEEN’ costume - Check the mood board in Whatsapp for inspiration.

HAIR / MAKE-UP ETC.

  • Hair - Any style as long as it is neatly off your face please.

  • Clear hair bands or hair bands that blend with your own hair colour.

  • Make-up - you can go crazy with this as long as it can be adapted if you’re in multiple show numbers.
